Privacy Policy
Ringo Calls

At Ringo, we understand that families trust us with information about the people they care about. Some of that information can be personal and sensitive, particularly information shared during reminder calls.
This Privacy Policy explains what personal data Ringo collects, where it comes from, why we use it, who may process it on our behalf, how long we keep it, and the choices and rights available to you.
It applies to account holders, people receiving Ringo calls, authorised family members, and other individuals whose personal data is processed through the Ringo service.
Ringo is designed around a simple principle: collect and use the information needed to provide reminder calls and family awareness features, and avoid collecting information that Ringo does not need.
1. Who we are

For family and individual accounts, Ringo generally determines how personal data is used to provide the service and acts as a data controller.
Where Ringo provides services to a business, care provider or other organisation, the respective controller and processor responsibilities may differ and will be set out in the applicable agreement or Data Processing Agreement.
Ringo processes personal data in accordance with applicable Irish and European data protection law and, where applicable to people in the United Kingdom, applicable UK data protection law.
2. Who this policy applies to
This policy may apply to:
- the person who creates and manages a Ringo account
- the person receiving Ringo reminder calls
- family members or other authorised people using a Ringo workspace
- representatives of organisations using Ringo
- people who contact Ringo for support
- visitors using the Ringo website or application
A person receiving reminder calls does not need to create their own Ringo login for Ringo to process information about them. Where another person provides us with your information, this policy also explains how that information is used.
3. Personal data we collect
The information Ringo processes depends on how you interact with the service.
3.1 Account information
When an account is created, we may process:
- first and last name
- email address
- workspace and plan information
- authentication and security information
- account settings and preferences
- subscription and billing status
Payment card information is handled through our payment provider. Ringo only describes payment information it directly receives or stores based on the current production implementation.
3.2 Information provided about the person receiving calls
An account holder may provide information about someone they care about so that Ringo can provide reminder calls. This can include:
- name
- telephone number
- timezone
- reminder information
- reminder schedules
- quiet hours
- voice or call preferences
- consent status
- other information necessary to deliver the requested reminder
The account holder is required to ensure that they have appropriate authority to provide this information and that the person receiving calls has agreed to receive Ringo calls where consent is required. Ringo makes this Privacy Policy reasonably available to people whose information is provided by someone else.
3.3 Information shared during calls
A person receiving a Ringo call may choose to share information during the conversation. This may include:
- responses to a reminder
- requests to be reminded later
- requests to stop or pause future calls
- messages intended for a family member
- information about how the person is feeling
- other information voluntarily shared during the conversation
The person receiving the call is not required to share information beyond what is necessary to respond to the reminder. Some information may constitute sensitive or special-category personal data, including information relating to health or wellbeing. Where special-category data is processed, Ringo will only do so where an appropriate lawful basis and condition under data protection law are available.
3.4 Call and reminder activity
Ringo generates operational information when reminder calls take place, including:
- scheduled call times
- call attempts
- retry attempts
- whether a call was answered, missed or reached voicemail
- reminder outcomes
- messages
- schedule-change requests
- stop or pause requests
- attention signals
- timestamps and event history
This information is used to provide call history and help families understand what happened.
3.5 Transcripts
Ringo creates text transcripts of reminder calls so that the service can understand call outcomes, capture messages, generate summaries and provide relevant family awareness features.
Call audio recordings are not retained by Ringo. Audio is processed during a live telephone conversation in order to deliver and transcribe the call, but Ringo's service is configured so that call audio is not retained as a recording. Transcripts may contain personal information voluntarily shared during a conversation.
3.6 AI-generated information
Ringo may generate information from a call transcript, including:
- call summaries
- call titles
- reminder outcomes
- tone classifications
- confidence information
- attention signals
- operational classifications used to determine how a call should appear in the Ringo workspace
For example, Ringo may identify a conversation as calm, confused or potentially distressed. These classifications are intended to help families understand calls and decide whether they want to follow up.
3.7 Support communications
If you contact Ringo for customer support, we may process your contact details, the contents of your request, relevant account information, troubleshooting information, and communications between you and Ringo.
3.8 Security and technical information
Ringo may process technical information needed to operate and secure the service, such as login and authentication events, IP address, device or browser information where available, audit records, error and reliability information, security events, and administrative access records. Ringo does not use this information to build advertising profiles.
4. Cookies and authentication technologies
Ringo uses technologies that are necessary to authenticate users, maintain secure sessions and operate the service. Ringo does not currently use advertising cookies or third-party behavioural advertising cookies.
The description of Ringo's authentication technology is reviewed against the current production implementation so that this policy accurately reflects whether authentication uses secure cookies, tokens or another mechanism.
5. How we use personal data
We use personal data to:
- create and administer Ringo accounts
- deliver scheduled reminder calls
- personalise calls using information supplied by the account holder
- handle missed calls and automatic retries
- process responses provided during reminder calls
- capture messages and requests
- generate call history and summaries
- identify calls that may need a family member's attention
- provide notifications by supported channels
- operate the dashboard and calendar
- process subscriptions and payments
- provide customer support
- secure the service and prevent misuse
- troubleshoot errors and maintain reliability
- comply with legal obligations
- establish, exercise or defend legal claims where necessary
Reminder calls to the person receiving Ringo calls are service communications and are not intended to be marketing calls. Ringo does not sell recipient telephone numbers or use recipient contact information for advertising.
6. Our legal bases for processing
Different processing activities may rely on different legal bases.
Contract
We may process account-holder information where necessary to create and operate an account, provide the Ringo subscription, process requested features, administer billing, and provide customer support.
Consent
Consent may be relied on where appropriate for receiving Ringo reminder calls, processing certain information supplied during calls, processing special-category information where explicit consent is the appropriate legal condition, and optional communications where consent is legally required. Consent can be withdrawn where processing relies on consent; withdrawal does not affect earlier lawful processing.
Legitimate interests
We may rely on legitimate interests where appropriate for maintaining service security, preventing fraud or abuse, troubleshooting and maintaining reliability, protecting Ringo's legal rights, and improving operational performance. We consider whether those interests are proportionate and whether the individual's rights and interests override them.
Legal obligations
We may process information where necessary to comply with laws applying to Ringo, including tax, accounting, regulatory and legal obligations.
Special-category personal data
Information about health or wellbeing can constitute special-category personal data. Where Ringo processes such information, it must have both an appropriate Article 6 lawful basis and an applicable special-category condition under Article 9 of the GDPR or equivalent UK provisions. The final lawful-basis wording is reviewed against the exact Ringo consent process.
7. How Ringo uses AI
AI is part of how Ringo provides reminder calls and interprets what happened during them. Ringo uses AI systems to:
- conduct conversational reminder calls
- understand responses
- produce call transcripts and summaries
- classify reminder outcomes
- identify messages and requests
- analyse call tone
- identify conversations that may deserve additional family attention
Ringo's AI-generated analysis is intended to support families, not replace human judgement.
Call Tone
After an answered call, Ringo may analyse the transcript and generate a high-level indication of the tone of the conversation. This may include labels such as calm, confused, annoyed or distressed.

- is not an emergency detection service
Ringo does not make decisions based solely on automated processing that are intended to produce legal or similarly significant effects on an individual. Family members remain responsible for deciding whether and how to follow up on information shown by Ringo.
8. Who we share personal data with
Ringo uses third-party service providers to operate the service. Current providers include:

Depending on the service they provide and applicable law, these organisations may act as processors on Ringo's behalf or may have separate responsibilities for particular processing activities. Where required, Ringo uses contractual and data-protection safeguards with service providers.
Ringo may also disclose personal data where required by law; to regulators or public authorities where legally required; to professional advisers where necessary; to protect against fraud or security threats; or in connection with a corporate restructuring, sale or acquisition, subject to appropriate safeguards. Ringo does not sell personal data.
9. International transfers
Some of Ringo's service providers may process personal data outside Ireland, the European Economic Area or the United Kingdom. Where an international transfer requires additional safeguards, Ringo uses an appropriate transfer mechanism under applicable data-protection law, which may include an applicable adequacy decision, Standard Contractual Clauses, applicable UK international-transfer safeguards, or other legally recognised mechanisms.

10. How long we keep personal data
Ringo keeps personal data only for as long as it is reasonably needed for the purpose for which it was collected, to operate the service, maintain security, meet legal obligations or deal with disputes.
Account and workspace information
Account information is retained while the account is active and for a limited period afterwards where needed for account closure, security, legal obligations or dispute handling.
Call transcripts
Call transcripts are retained only for as long as needed to provide call history, analysis, family-awareness and support functionality, after which they are deleted in accordance with Ringo's retention schedule. Users may also request deletion, subject to any lawful reason Ringo may have to retain particular information.
Call and reminder records
Operational records such as scheduled calls, outcomes and audit history may be kept separately from transcript content where they are needed for service history, security, reliability or legal purposes.
Security, audit and payment records
Security and audit information is retained only for an appropriate period based on the type of record, security requirements and applicable legal obligations. Payment and accounting records are retained for the period required under applicable tax, accounting and financial laws. Ringo periodically reviews its retention requirements and removes information that is no longer required.
11. Security
Ringo uses technical and organisational measures designed to protect personal data. These include, where applicable:
- authenticated access to Ringo accounts
- workspace-level data separation
- password hashing
- access controls
- rate limiting
- encrypted network connections using HTTPS/TLS
- audit logging
- restricted administrative access
- additional authentication for sensitive administrative actions
- monitoring for misuse and security events
Access to customer data is limited to people and systems that require it for legitimate operational purposes. No online service can guarantee absolute security. If you believe there may be a security issue involving Ringo, contact support@ringo.ie.
12. Consent and responsibilities when adding another person
Ringo allows an account holder to provide information about another person so that Ringo can call them. Before adding someone to Ringo, the account holder must ensure that:
- they are authorised to provide the person's information
- the person has agreed to receive the calls where consent is required
- the information provided is accurate
- Ringo is used only for lawful purposes
A person receiving calls can ask Ringo to stop or pause calls. Ringo records and surfaces supported stop or pause requests so that they can be acted on appropriately.
13. Your data-protection rights
Depending on applicable law and the circumstances of the processing, you may have rights including:
- the right to access personal data held about you
- the right to correct inaccurate or incomplete information
- the right to request deletion
- the right to restrict certain processing
- the right to object to certain processing
- the right to receive certain information in a portable format
- the right to withdraw consent where processing relies on consent
- rights relating to certain automated decision-making
These rights are not absolute and may depend on the reason the information is being processed. To make a request, contact support@ringo.ie. Ringo will respond without undue delay and normally within one month, subject to any extension permitted by applicable law.
Complaints
If you are in Ireland or the EU, you may complain to the Data Protection Commission of Ireland or another competent EU supervisory authority. If you are in the United Kingdom, you may complain to the Information Commissioner's Office (ICO). You are welcome to contact Ringo first so that we can try to resolve your concern.
14. Children's privacy
Ringo is designed to support adults and is not intended for use by children. We do not knowingly provide Ringo reminder-call services to individuals under the age of 18. If we become aware that we have collected personal data relating to a child contrary to this policy, we will take appropriate steps to investigate and delete the information where required.
15. Changes to this Privacy Policy
We may update this Privacy Policy when Ringo's service, technology, providers or legal obligations change. The latest version will be published on the Ringo website with its effective date. Where a change materially affects how personal data is processed, we will provide additional notice where required.
